Pros and Cons of Using External Services for SAM

10:00 am  -  11:00 am
Molise 4

The area of Software Asset and License Management usually is not a core activity of a company. It’s common to see that significant resources and funds are not allocated to the function, often leaving the responsibility on the shoulders of short-handed leaders who are struggling to determine whether to increase their in-house function, or to utilize external professional services firms to fulfill their needs. But what factors should be considered before engaging a professional services firm for SAM? How can SAM managers identify activities and processes that would benefit from external assistance, versus ones that they should handle on their own? We’ll go over examples of proven solutions for organizations of different sizes and levels of SAM Maturity.

The Final Check-Out

10:00 am  -  11:00 am
Molise 5

IT asset disposition (ITAD) should be considered the “Final Check-Out” of an ITAM program. The concept of check-out/check-in is fundamental to ITAM. The Final Check-Out, however, differs dramatically from the common check-out and requires specific procedures to establish chain-of-custody. The common approach during ITAD is to allocate assets to ITAD vendors. Allocating assets is risky since it can conceal losses and increase damages should a breach occur. Moreover, allocating does not meet minimum standards for safeguards required by privacy-protection laws. This session will focus on Final Check-Out best practices in order to eliminate costly mistakes and ensure privacy compliance.

10:00 am  -  11:00 am

Almost daily, we are inundated with news of disruptive technologies and trends that are predicted to change either our personal or professional lives. In fact, one trend has already been identified and is spreading rapidly within your organization is the Disruption Gap. The Disruption Gap has been growing quietly within virtually every organization for years. However, it suddenly has become a force with which to be reckoned. It is increasingly creating challenges and risks to your IT organization’s fundamental ability to deliver a secure and reliable computing platform. It is changing virtually every operational aspect of business as we know it today. Worst of all, your IT department is ill-equipped to overcome these challenges and mitigate the risks, but will ultimately be held accountable for the impending outcomes. In this session, we will break down the Disruption Gap, its root cause(s), accelerating dynamics, the risks and challenges it presents and how leading organizations are attacking it through mature Software Asset Management tools and practices. If your SAM Program is designed to mitigate audit risk, it is woefully unprepared to abate the impact of the Disruption Gap.

Who Are The Future “Big Three” Superheroes and Their Potential Villain?

2:15 pm  -  3:15 pm
Marche 2

From my earliest days of speaking with Asset Management practitioners, I was told to only talk about their favorite topic: Asset Management. Why? Because looking beyond their sandbox would suck the life out of them, slow everything down, & prevent ITAM from being successful.
This was troubling to me. Dismissing other critical elements that enhance or intersection with their sandbox was a glaring misunderstanding of what ITAM was designed to accomplish.
We’ll discuss my views on the future “Big Three Superheroes” (ITSec, ITAM & ITSM) and playing together can actually protect a company from their villains, which are better as cloud, data breaches and mobile device management.

With cloud adoption comes the challenge of managing costs for both cloud infrastructure services and Software as a Service (SaaS) applications. License compliance risk may be lower than traditional on-premises software, particularly for SaaS applications, but costs can spiral out of control if not managed closely. In this session we will discuss the spend management risks associated cloud services and some of the strategies organizations can use to keep a lid on these costs using Software Asset Management processes and tools. We’ll use Amazon Web Services and Microsoft Office 365 as specific examples of cloud infrastructure services and SaaS applications, respectively, that can be managed for better cost efficiency.

The Evolution From Traditional Software to SaaS

3:30 pm  -  4:30 pm
Modena 1

IT execs have had to shift their focus from purchasing and managing a handful of on-premise solutions to utilizing hundreds of agile SaaS solutions. Enterprises are purchasing and managing SaaS that spans every function across the business.

Organizations are pushing buying power to departments, moving the evaluation process to teams other than IT. If a department or a function is in need of a new solution or wants to replace an existing solution, they can manage the process themselves.

While this shift in responsibility is necessary, it does pose risks. How should IT be prepared to handle this change?

Integrated ITAM provides the much needed hand-shake with all the players to address the risks an organization faces.

Focus Effort on Achieving Sound Process, Then Automate. Why The Reverse Is A Mistake!

3:30 pm  -  4:30 pm
Modena 2

Business managers still have a belief that all that is required for a successful ITAM program is the right tool. Despite what their ITAM practitioners may try to tell them, the question comes back “How hard can it be?” Many believe it’s just an auto-discovery tool they need. They hear the experts say that ITAM is 80% process, nod their heads in agreement, and continue to set about searching for the right tool. This session will provide “It’s the process stupid!” ammunition by showing , through actual experiences, why a tool alone will not solve the numerous challenges of ITAM.

Are Industry Specific Certifications Sufficient? The Key Areas You Show Know For Performing Detailed On-Site Audit

3:30 pm  -  4:30 pm
Molise 5

Many corporations choose their ITAD/electronics recycling service provider without even performing an on-site audit. They solely rely on R2 or e-Steward certification to do the auditing job, then they choose vendor based on pricing. As many R2 and/or e-Steward certified service providers were exposed for illegal exporting, it underscores the importance that without an in-depth audit on service providers, the corporate decision maker may subject his/her company to serious legal, environmental and image loss liabilities.

The presenter Jade Lee was invited by the US EPA to help develop the original R2 standard and has pushed R2 to implement “unannounced audit” program which was adopted in 2015. Jade will detail the critical areas where corporations need to delve into and the tricks that many service providers may play to deceive auditors and customers. She will also delineate methods that corporations can use to discern the true practice of service providers to mitigate liabilities.

Data Privacy

3:30 pm  -  4:30 pm
Molise 1

Data Privacy is the law designed to protect individuals personal information, which is collected, processed and stored by companies and government organizations around the world. In order to empower an individual to control his/her information and to protect from abuses, it is essential that data protection laws restrain and shape the activities of companies and governments. Organizations have shown repeatedly that unless rules restrict their actions they will endeavor to collect it all, mine it all, keep it all, while telling an individual nothing at all. Individuals, as citizens and consumers have the right to exercise their right to privacy and protect themselves and their information from abuse. This is particularly the case when it comes to his/her personal information. Data privacy is about safeguarding our fundamental right to privacy, which is enshrined in international and regional laws and conventions.
