Currently, asset acquisition and tracking are managed through disparate systems and manual processes, leading to inefficiencies and inaccuracies.Acquisition Training Project
Acquisition staff currently lack standardized training, leading to inconsistent procurement practices and potential compliance issues.The two areas from the survey where we could do improvements are:
1) centralized hardware request process — today we have multiple options depending on the type of hardware, leading to a complicated user experience for requesters
2) contract negoatiations with ITAM involement — ITAM is not involved today, which means that decisions are not made about what scope of the contract will be under ITAM control as the contract is finalizedMy organization uses all of the technology described in the video. However, we are in the process of upgrading our repository and disposal tooling to a more modern system.
Two projects I can sponsor:
1) ITAMS Modernization Project – Deploy a modern IT Asset Management System (ITAMS) to centralize and automate the acquisition, tracking, and management of IT assets because our old system is unable to scale well enough for day to day operations
2) Acquisition Training Project – Establish a comprehensive training and certification program for staff involved in the acquisition process to improve the skills of the staff involved in this KPAThere are no templates visible yet, but I can imagine that one described in the video would be helpful:
The negotiating planning template will be useful. It enables the group involved with an upcoming negotiation to set the goals and expected outcomes of the negotiation. It also includes a negotiating strategy including arguments and fallback positions.
A well managed acquisition management process has strengths in
– cost control
– conforming to compliance requirements
– high quality information to support better contract terms and service levels with vendors
However, acquisition management can have these weaknesses if not performed well:
– complexity and high administrative overhead cost
– system integration challenges
– dependencies on vendors
– challenges with budget constraintsIn addition to the typical roles in Acquisition Management, my organization has provisioning managers for individual technology domains. This role performs delegated tasks from the Acquisition Manager and some tasks in Asset Identification such as tagging and record creation.
The biggest challenges improving the Acquisition KPA in my organization are:
1) Integration among many different provisioning systems
2) Managing the related regulatory requirements
3) Budget constraintsThe most important KPAs for Acquisition Management are:
1) Financial Management: Financial Management depends on Acquisition to accurately track and report costs associated with acquiring IT assets, ensuring budget adherence and cost optimization. In return Financial Management provides ROI and TCOO calculations, as well as payment processing.
2) Asset Identification: Asset Identification provides Acquisition to a way to receive, tag and record acquired assets.
3) Communication and Education: Acquisition depends on this KPA to manage knowledge and training on how the Acquisition KPA works.Need for urgency for my two policy projects:
